Last updated: 1 June 2026

Picosoft Solutions (“Picosoft”, “we”, “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal data when you use our website at picosoft.com.my and related pages (the “Site”), our software products and online services (the “Services”), including web and mobile applications we build for individual or corporate users, and when you contact us. It is intended to align with common expectations under the Personal Data Protection Act 2010 (PDPA) of Malaysia, but does not replace legal advice tailored to your situation.

1. Data controller

The data user responsible for personal data processed in connection with the Site and Services is Picosoft Solutions, reachable at [email protected] and the postal address shown in the footer of the Site.

2. What we collect

We may collect: (a) account and profile information you provide when registering or using our Services (such as name, company, email address, phone number, and billing or support details); (b) information you submit or generate through our Services (such as messages, posts, emails, support tickets, business records, configuration data, or files you upload); (c) information you provide when you email us, call us, or submit a form on the Site; (d) technical and usage data when you use the Site or Services (such as IP address, browser or app version, device type, operating system, approximate location derived from IP, log files, and features used); and (e) cookies or similar technologies where we use them on the Site (see below).

If you use our Services to process personal data about your own customers, employees, or contacts, you are responsible for having a lawful basis to provide that data to us. We process such data on your instructions to deliver the Services.

3. How we use personal data

We use personal data to: provide, operate, secure, and improve the Site and Services; authenticate users and manage accounts; deliver the features you request; respond to enquiries and support requests; analyse aggregated usage trends; comply with legal obligations; and protect our legitimate interests (such as fraud prevention, abuse detection, and network security), where permitted by law.

We do not sell your personal data. We do not use automated decision-making that produces legal or similarly significant effects solely based on casual browsing of the Site.

4. Legal bases (where applicable)

Depending on context, we rely on: your consent (for example, where you connect a third-party account, subscribe to updates, or accept non-essential cookies); performance of steps prior to a contract or a contract with you; compliance with legal obligations; or legitimate interests that are not overridden by your rights (for example, securing our Services and understanding how they are used).

5. Sharing and processors

We may share personal data with service providers who assist us (for example, hosting, cloud infrastructure, messaging, email delivery, analytics, or payment processing), subject to confidentiality and processing terms. Where a Service connects to a third-party platform you enable, data may be exchanged with that platform as needed to provide the feature.

We may disclose information if required by law, court order, or competent authority, or to protect rights, safety, and security. If Picosoft undergoes a business transfer (such as a merger or asset sale), personal data may be transferred as part of that transaction, subject to applicable law.

6. International transfers

Our service providers and integrated platforms may process data in Malaysia or other countries. Where personal data is transferred outside Malaysia, we take reasonable steps to ensure appropriate safeguards in line with PDPA requirements and our agreements with processors.

7. Retention

We retain personal data only as long as needed for the purposes described above, including to provide the Services, resolve disputes, enforce agreements, and meet legal, accounting, or reporting requirements. Retention periods vary depending on the nature of the data and legal obligations.

8. Security

We implement reasonable technical and organisational measures designed to protect personal data against unauthorised access, loss, or alteration. No method of transmission over the Internet or mobile networks is completely secure; we cannot guarantee absolute security.

9. Your rights

Subject to Malaysian law, you may have the right to request access to, correction of, or deletion of your personal data we hold, to withdraw consent where processing is consent-based, and to object to or restrict certain processing. You may also have the right to lodge a concern with a relevant authority.

To exercise these rights, contact us at [email protected]. We may need to verify your identity before responding.

10. Cookies

We may use cookies or similar technologies for essential Site operation, preferences, or analytics. Where required, we will obtain consent for non-essential cookies. You can control cookies through your browser settings; disabling some cookies may affect Site functionality.

11. Third-party sites and platforms

The Site and Services may link to or integrate with third-party websites and platforms. Their privacy practices are governed by their own policies. We encourage you to read those policies before connecting an account or providing personal data.

12. Children

The Site and Services are not directed at children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal data from children. If you believe we have done so, please contact us and we will take steps to delete the information where appropriate.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date will change accordingly. Material changes may be highlighted on the Site. Continued use of the Site or Services after updates constitutes acceptance of the revised policy where permitted by law.
